Dashboard – Managing withdrawal requests

Overview

In the app’s Dashboard you see all withdrawal requests for your shop. You can filter by status, date range, order, or search term, open details, and jump to the order in Shopify Admin. With Pro or Plus you also have CSV export.

Main view

  • Table/list: Shows e.g. order number, customer (email), withdrawal status, date received, order fulfillment status.
  • Filters: Typical filters are status (e.g. Received, Cancelled, Return created, Refunded), date range (from/to), order number, or search term. Status filters match the four withdrawal states in the app (Validated, Rejected, Active, Completed). Exact options depend on the app interface.
  • Sorting: Often by date (newest first) or order number.

Actions per withdrawal

  • View detail: Opens the withdrawal detail page with timeline, order info, line items, return status, and any excluded-product notices.
  • To order in Shopify Admin: Link to the order in Shopify Admin for further steps (e.g. refund, message to customer).

Timeline / status per withdrawal

The detail view shows the progress of the withdrawal, e.g.:

  • Order date
  • Withdrawal received (date) – for manual withdrawals also “Created manually” and the reason entered in the backend
  • Confirmation email sent
  • Cancellation (if unfulfilled) or Return created (if fulfilled), or “X items on hold” for partial withdrawal
  • Last item shipped (if relevant)
  • Further partial withdrawals (date)
  • Refund (if recorded by the app)

So you can see at a glance which step the withdrawal is in.

CSV export (Pro / Plus)

  • Where: In the dashboard, usually a button “Export” or “Export CSV”.
  • Content: The filtered withdrawal requests are downloaded as a CSV file (e.g. for Excel) – useful for reporting, accounting, or archiving.
  • Note: Only available with Pro or Plus (see Pro and Plus features).

Manual withdrawal (Pro / Plus)

When a customer withdraws by phone, email, or other means, you can create the withdrawal directly in the app – without the customer using the storefront form.

  • Where: In the app navigation “Create withdrawal” (Pro/Plus).
  • Steps:
    1. Find order: Enter the order number (e.g. 1001 or #1001) and click “Load order”. The app loads the order and checks the period and existing withdrawals.
    2. Fill form: Customer email (pre-filled from the order, can be adjusted), optionally enter a reason.
    3. Partial withdrawal (Plus only): If partial withdrawals are enabled in Settings, you can select individual items for withdrawal. Default: all eligible items. Use “Select all” or deselect items to choose which line items to withdraw.
    4. Create withdrawal: After submitting, the app creates the withdrawal, cancels the order if applicable or initiates the return, and sends emails to you and the customer – as with a storefront withdrawal. The customer email states that the withdrawal was recorded by your team and includes the reason you entered. On the withdrawal detail page the timeline shows “Created manually” and the reason at the “Withdrawal” step.

Notes:

  • Only one withdrawal per order can be created. If one already exists, a message appears with a link to the existing withdrawal detail page.
  • The order must be within the configured withdrawal period and must not already be cancelled.
  • Products excluded from withdrawal are shown in the form but cannot be selected; they are not part of the withdrawal.

Setup note (metafields, webhooks)

When you first open the app, a setup assistant or notice may appear if metafields or webhooks still need to be set up. Follow the instructions in the app (e.g. “Create metafields”, “Enable webhooks”) so period calculation, order status, and emails work reliably. The notice usually disappears after setup.
